Job Summary:
The Office Manager is responsible for organizing and coordinating office administration and procedures to ensure organizational effectiveness, efficiency, and safety. They manage office staff, handle administrative duties, and oversee office operations and maintenance.
Key Responsibilities:

Administrative Management:
- Oversee and support all administrative duties in the office.
- Ensure the office operates smoothly and efficiently.
- Manage office supplies inventory and place orders as necessary.
- Perform receptionist duties such as answering calls, taking messages, and handling correspondence.

Staff Management:
- Supervise and manage office staff, including administrative assistants and receptionists.
- Assist in recruiting, onboarding, and training new employees.
- Conduct performance reviews and provide feedback to improve staff performance.

Financial Management:
- Monitor office expenditures and handle all office contracts (rent, service providers, etc.).
- Manage accounts receivable and payable.
- Assist with budget preparation and expense management.

Office Operations:
- Maintain office efficiency by implementing and overseeing office systems, layouts, and equipment procurement.
- Ensure the office is kept clean, safe, and organized.
- Coordinate with IT department on all office equipment.

Event Planning:
- Organize office events, meetings, conferences, and other gatherings.
- Manage the scheduling and coordination of meetings and appointments.

Policy and Procedures:
- Develop, implement, and maintain office policies and procedures.
- Ensure compliance with company policies and government regulations.
- Manage the security and privacy of office records.

Communication:
- Serve as the point of contact for office-related inquiries.
- Communicate effectively with staff, clients, and other stakeholders.
- Prepare reports, presentations, and correspondence as required.
- Education: Bachelor’s degree in business administration, management, or a related field.
- Experience: Proven experience as an Office Manager or in a similar role.
- Skills:
- Excellent organizational and leadership skills.
- Strong written and verbal communication skills.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving skills.
