Job Description

The Administrative Assistant is responsible for providing day to day administrative support. Must have strong organizational skills with a keen eye for detail. The Admin Assistant must be flexible and able to handle multiple priorities simultaneously, have good judgment, be able to work independently or with little supervision, self-motivated, set priorities and apply excellent time management skills.

Administrative Assistant Responsibilities:

  • Assist with the overall operations and with special projects.
  • Replies to personal and other correspondence, composing letters with or without dictation.
  • Screens office and telephone callers, meets the public, makes appointments, and arranges conferences and speaking engagements.
  • Directs callers to other departments and officials or to other individuals, divisions, or sections of the department where assigned.
  • Takes care of day-to-day inquiries or problems wherever possible.
  • Secures information on the status of pending matters and reasons for delay in the completion of projects.
  • Maintains office files and records, including those of a confidential nature.
  • Performs confidential and personal services, as requested.
  • Recognizes the need for revisions in office, clerical, and secretarial procedures, and makes recommendations regarding such changes.
  • May assign and supervise the work of other employees.
  • May be assigned to lead the work of a team of administrative generalists or specialists assigned to work together on specific projects and studies or who function together continuously as a group to work together on a variety of assignments.
  • Participates from the beginning at a decision making level in budget planning of major programs of the department
  • Analyzes, evaluates, and makes recommendations for organizing, staffing financing, and operation of major new departmental functions or major modifications of existing programs.
  • Analyzes, evaluates, prepares, and makes recommendations on the budget of a smaller department or a major segment of the budget of a large-sized department.
  • Analyzes, evaluates, and makes recommendations on purchasing, leasing, siting, equipping, and space planning of major departmental facilities.
  • Analyzes and makes recommendations on complex organizational problems and work procedures having an interdivisional, interdepartmental, or limited public impact.
  • Assumes responsibility, as assigned, for performing other specialized duties related to the overall management of the department.
  • Analyzes and makes recommendations to the unit manager for the resolution of problems of work procedure and space allocation; and may participate in the implementation of changes resulting from recommendations.
  • Participates in the implementation of changes resulting from studies, and writes associated procedural manuals and instructions.
  • Coordinates and resolves problems between the unit served and departmental housekeeping, payroll, personnel, and reproduction services.
  • Prepares reports and projections of workload and staffing for the manager of the unit.

Administrative Assistant Minimum Qualifications:

  • Proficient Knowledge and experience in Microsoft Office
  • Word

  • PowerPoint
  • Ability to effectively interact with all levels of staff and the public.
  • Good verbal and written communication skills.
  • Strong grammatical and proofreading skills.
  • Ability to work efficiently in independent and team environments.
