Job Summary: To provide clerical and administrative support in order to ensure Manufacturing operations are carried out in an effective and efficient manner.

Responsibilities of Admin Assistant:

  • Assists Scheduler with any clerical tasks necessary to maintain production schedules
  • Provides WO folders to appropriate departments for approvals, staging, etc. to provide appropriate lead-time
  • Tracks WO status throughout the production cycle and assists in determining corrective course of action as issues develop
  • Keeps Scheduler/Planner apprised of any condition that may impact production schedules such as potential raw material shortages/delays and quality or other issues for which the customer may need to be contacted
  • Collaborates with various departments to identify, troubleshoot and resolve any issues to ensure on-time delivery to the customer
  • Makes copies of batch records based on approved Master records.
  • Tracks MFG production output by recording it onto the daily output excel.
  • Completes product tracking sheet on average hourly run time per product.
  • Maintains a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service
  • As part of the front office team, may provide back up for Reception, answering the phones, as needed

Requirements and Qualifications of Admin Assistant:

  • High School education (HS Diploma or GED preferred)
  • Comprehensive knowledge of office administration
  • Clear and professional communication skills
  • Ability to recognize and maintain the confidentiality of certain communications
  • Excellent planning, organizational, critical thinking, communication and interpersonal skills
  • Strong computer skills, including working knowledge of MS Office
  • Basic math skills (addition, subtraction, multiplication, division, percentages, rounding)
  • Ability to maintain a positive, professional, cooperative demeanor
