Job Description

We are seeking a Benefits Manager for a temporary to hire opportunity with a automotive industry leader in Orange County! The Benefits Manager is responsible for the day-to-day administration, service delivery and project management of employee benefits plans and programs. This is a hands-on role that will implement new benefit offerings and changes, educates employees on company benefit programs and oversees administration, ensuring legal compliance, managing, developing and coaching team members.

The Benefit Manager job responsibilities:

Health & Welfare Plans/Wellness:

  • Serve as the subject matter expert on the Company’s benefit programs and be proficient in administrative and eligibility requirements for all benefit plans (e.g. medical, dental, vision, life, FSA/HSA, COBRA, retiree health care, EAP, Teladoc and 401(k) plan) in accordance with legal plan documents, business requirements and Company policy and procedures
  • Manage benefits & wellness plan design to include current state analysis, renewal strategy, and costing scenarios.
  • Develop and analyze benefits key performance indicators (KPI) like plan participation and utilization for benefits programs monthly, quarterly, and on an annual basis.
  • Develop, administer and evaluate wellness and healthcare educational programs to promote healthy lifestyles.
  • Vendor administration for benefit plans/carriers – LOAs, COBRA, FSA/HSA
  • Serve as the Health & Welfare subject matter expert for annual enrollment including reviewing and updating appropriate business requirement documents, providing input into project plan and related communications; identifying relevant test scenarios and coordinating overall test plan while continuing to focus on streamlining processes and ensuring a positive employee experience
  • Develops and manages the Benefits and Wellness budget.
  • Develops and updates benefits sections of the BenefitsConnect Portal and department web site, working to continually improve them as an effective resource for employees and supervisors.


Retirement Programs:

  • Oversees retirement plan administration and compliance. Includes managing enrollment, recording and payment of employee and company retirement contributions, non-discrimination testing, annual plan reviews and communications.
  • Resolves employee issues and responds to employee pre-retirement and post- retirement questions.
  • Establish and lead 401k committee to ensure fiduciary requirements are met.
  • Audit deferrals and loans on a routine basis. Manage required annual reporting & compliance requirements
  • In partnership with 401(k) vendor, manage program education for employees.
  • In partnership with Payroll, ensure accurate deductions and plan funding.
  • Collaborate with others to develop and execute a comprehensive communication strategy for benefits programs and identify opportunities to improve employee participation and engagement; facilitate proactive and effective messaging to educate employees about benefits and leaves while promoting the company’s people first culture and strategic objectives.


Absence Management:

  • Manages leave programs and policies in accordance with applicable federal and state laws and company leave policies, including leave requests intake, leave eligibility determination, sending required notices, forms and letters, and independently approving or denying leave cases based on relevant medical information and recertifying leaves in accordance with Company policy within required timeframes.
  • Ensures the integration of various disability management programs are facilitated as needed and any and all benefits are provided in a timely and accurate manner.
  • Oversees other benefit programs such as Short-Term Disability, Long Term Disability, Workers’ Compensation, health benefits, paid time off programs and other internal and external benefits are coordinated with employees.
  • Responsible for the interactive process of requests for accommodation including the “return-to-work” process, ensuring consistency and compliance with state and federal leave laws.
  • Coordinate with HR Business partners, employees, and managers, to ensure that proper communication and coordination takes place.
  • COBRA, ACA and other regulations, including plan documents, summary plan descriptions, annual plan review and/or changes, non-discrimination testing and annual reporting and

audits - Form 5500.

  • Retirement Programs: Ensures compliance with ERISA, including annual reporting and audits - Form 5500, maintenance of plan documents and summary plan descriptions.
  • Suggest new policies and internal controls to ensure the accuracy of data and compliance as needed.



  • Benefits: Ensures compliance with Section 125, HIPAA, COBRA, ACA and other regulations, including plan documents, summary plan descriptions, annual plan review and/or changes, non-discrimination testing and annual reporting and audits - Form 5500.
  • Retirement Programs: Ensures compliance with ERISA, including annual reporting and audits - Form 5500, maintenance of plan documents and summary plan descriptions.
  • Suggest new policies and internal controls to ensure the accuracy of data and compliance as needed.


Data Management (HRIS):

  • Data management responsibilities including processing changes in HRIS system (Workday), audits of data, earnings uploads and data correction, and check request.
  • Submits benefit enrollments, changes and life events to carriers utilizing Workday feeds that are set-up by the Benefits Manager. Responsible for the Workday set up, updates and maintenance of these feeds to ensure correct data flow to carriers.
  • Responsible for Workday setup of all benefit plans, benefit deductions and benefit groups within the Benefits Module in Workday this includes open enrollment, life events, 401k and any other required set up.
  • Lead and manage audit process for benefit payments and all payroll deductions.


Leadership & Administration:

  • Hires, trains, supervises, schedules and evaluates employees.
  • Collaborates with other HR directors/managers on projects and process improvements.
  • Develops written departmental procedures in all areas. Drafts benefits correspondence and publications; edits other department correspondence or publications as needed.
  • Maintains professional and technical knowledge by attending compliance and educational courses, including Workday trainings.
  • Updates policies and Employee Handbook as needed.
  • Perform related duties and responsibilities as required.


The Benefit Manager Qualifications and other Requirements:

  • Bachelor’s degree in Business or Human Resources or related field or equivalent amount of education and work experience
  • 8-10 years of experience in benefits administration; heavy emphasis in benefit design, strategy, and administration required
  • Minimum of 3 years of self-insured employee health benefits and wellness experience required
  • Experience with administration of benefits programs in multiple states, preferred
  • In-depth benefit compliance knowledge, this includes 401k and federal, state & local law requirements.
  • 3+ years of managing, leading teams and implementing project initiatives
  • Benefit certifications preferred (CBP, CEBS)
  • Excellent analytical skills, including a working knowledge of statistics used in compensation analysis
  • Critical thinking, able to define and solve complex problems quickly
  • In-depth understanding of features and mechanics of a broad variety of employee benefit and retirement programs.
  • Working knowledge of federal and state laws and regulations related to leave of absence management, including but not limited to FMLA, ADA disability benefits, workers’ compensation and return to work
  • Solid understanding of STD, LTD and other benefit plans.
  • Knowledge of best practices and processing requirements relating to leave management.
  • Solid understanding of ERISA and all applicable requirements, regulations, and federal and state laws relating to employee benefit programs, qualified retirement plans and leaves of absence
  • Ability to properly handle confidential and sensitive information and materials; understanding and application of HIPAA protocols required.
  • The ability to formulate and implement innovative solutions.
  • Strong interpersonal skills, including the ability to collaborate, influence, negotiate, resolve conflicts, and effectively coach both management and non-management.
  • Ability to build relationships with management and customers, demonstrate ability to provide high level of integrity/ trust and provide sound advice and guidance.
  • Must be an organized, results-oriented individual with the ability to prioritize and multi-task.
  • Outstanding verbal, listening and written communication skills.
  • Must have and strong understanding of and proficiency in Microsoft Office (Word, Excel, and Power Point).
  • Must be able to travel 1-2 times per year, as needed.
