Job Summary: The Collections Clerk Establishes professional working relationships with customers to facilitate timely resolution of past-due account balances. Notifies or locates customers with delinquent accounts and attempts to secure payment and obtains customer PO’s needed to invoice work orders from a WIP report by performing the following duties:


Responsibilities of the Collections Clerk:

  • Contacts customers by telephone or e-mail and confers to determine the reason for overdue payment; reviews terms of sales, service or credit contract with the customer.
  • Works from the aging reports to reduce past due balances.
  • Reviews collection reports ascertaining the status of collections and balances outstanding.
  • Records information about the financial status of customers and the status of collection efforts.
  • Reviews status of delinquent accounts and initiates collection action by contacting each account according to the due date.
  • Communicates credit risks or bad debt information to the manager immediately upon discovery.
  • Ensures unapplied credits are identified on a timely basis and cleared against outstanding receivable balances as deemed appropriate by customer.
  • Obtains and reviews credit information for establishing customer accounts; runs credit checks using on-line credit service.
  • Records information about financial status of customer and status of collection efforts.
  • Mails form letters to customers to encourage payment of delinquent accounts.
  • Prepares documents for collection agency.
  • Occasionally arranges time payments for customers unable to meet original purchase terms.
  • Process credit requests for all departments.
  • Initiates appropriate follow-up action on mail returned as undeliverable.


Requirements and Qualifications of Collections Clerk:

  • Must have corporate collection experience.
  • Must have a full understanding of the Accounts Receivable process.
  • Must have strong reconciliation skills.
  • Must be able to manage a high volume of customer calls daily & e-mails (35-50 calls/e-mails per day) with results.
  • Must be organized and able to multi task and still maintain productivity.
  • Must be able to follow the documented Collection Process with minimal supervision.
  • Ability to manage time efficiently.
  • Ability to be assertive yet professional.
  • Ability to maintain established records and files.
  • Able to operate a calculator.
  • Familiarity with clerical practices, office procedures and automated equipment.
  • Ability to perform computations with reasonable speed and accuracy.
