We are seeking a detail oriented, organized Engineering Administrative Assistant for a contract opportunity with our customer a well known Orange County based public agency, whose mission is to provide high quality water and sewer services in an efficient, cost effective, and environmentally sensitive manner which produces a high level of customer satisfaction! The Administrative Assistant will be responsible to plan, organize and perform a variety of clerical duties including research and special projects for the Engineering department.

 The Administrative Assistant job duties:

  • Provide general clerical and administrative support to the department.
  • Provide public counter assistance and support.
  • Answer department phone line and route calls to appropriate personnel.
  • Perform a variety of clerical tasks including typing or data entry, proofreading, editing, and ordering of office supplies and equipment.
  • Respond to inquiries and requests from customers.
  • Process non-residential service and meter applications including the preparation of application, work order and permit, and the calculation and collection of connection fees.
  • Maintain Development Services records and database for preparation of periodic reports.
  • Prepare and maintain Development Services plan check files.
  • Calculate residential connection fees and prepare service agreements and bond forms.
  • Organize and maintain documents in Content Manager according to District retention policy.
  • Type correspondence and reports, sort and distribute department mail, arrange and coordinate meetings, and copy and assemble documents.
  • Prepare a variety of complex written materials, including letters, notices, memorandums, forms and contracts.
  • Comply with safety work-related practices and attend relevant safety training.

Must haves for the Administrative Assistant position:

  • High school graduation or equivalent
  • 2+ years of administrative experience required.
  • General understanding of civil engineering construction plans and legal real estate property descriptions desired.
  • Strong knowledge of MS Office Suites with a particular focus on MS Excel knowledge (Pivot tables, SUMIF, Chart, VLOOKUPS)
  • Positive, “Can do” attitude
  • Strong attention to detail, strong multi-tasking skills
  • Professional writing skills
