Job Description

We are seeking a self-motivated, proactive, hands on Sales Admin for a contract to hire opportunity with a leading manufacturer of electronic test systems that support the semiconductor industry around the world. 

The Sales Admin Essential Duties & Responsibilities:

  • Ensure new customer purchase orders meet acceptance requirements and manage any change orders.
  • Creates shipping documents related to customer purchase orders.  Ensures copies are released to ATS shipping team.
  • Responsible for generating billing invoice once hardware has been delivered to customer/end user.
  • Generate quotations, maintaining approvals and additional back up. May require coordinating with ATS buyer for pricing/delivery of various spares prior to quoting.
  • Complete and submit necessary documents required for customer payments.  Issues sales transaction invoices to customers.
  • In depth knowledge of the indirect and direct order processing process including approval management and customer set-up.
  • Review weekly booking report with ATS planner & buyer to ensure a purchase order has been released to the appropriate vendor for backlog hardware.
  • Ensures HTS (Harmonized Tariff Schedule) & ECCN codes have been assigned for any products shipping internationally against customer purchase orders.  Coordinate with Trade compliance and program managers if one does not exist.
  • Updating, generating, and distributing various reports.
  • Contacting customers by email or phone to answer queries and obtain missing information.
  • Collecting, organizing, and filing sales orders and all required documents by using knowledge of paper and electronic filing systems.
  • Responsible to schedule crating and freight trucks for upcoming shipments.  Align with ATS program managers, ATS shipping and CM’s to determine ship dates.
  • Provide customers shipment notifications and follow-up with freight forwarders to ensure all cargo has been delivered. Verify the POD (proof of delivery) information is accurate and logged against the billing invoice for revenue recognition.
  • Follows all SOX requirements related to order processing and invoicing.
  • All other duties as assigned.


The Sales Admin Qualifications / Requirements:

  • Sales administration: 2 years (Preferred).
  • High school or equivalent (Required).
  • Proficient with Microsoft Office Word, Excel and Outlook
  • Professionalism, Initiative, desire for career progression.
  • Superb organization skills with strong attention to detail.
  • Ability to multi-task between multiple departments and meet deadlines.
  • Strong written and verbal communication skills, mature attitude, customer service experience.
  • High focus on details and accuracy.
  • Ability to prioritize activities in a multi-task environment.
  • Effective problem-solving skills.
  • Experience in Oracle is a plus.
